drives in vista

I frequently use usb memory sticks so when I call up a file in, say, my finance programme, the programme will go to ,say, drive F. The problem is that drives F,G H etc. are stil in the list of drives even though they are no longer present, so the programme reports that it cannot find the asked for file. I then need to find what drive the device has assigned. On my previous windows XP only drives present were available so that when I put a new drive over and above the 'permanent' drived it got the next available letter and was thus always the same. I have added one 'permanent' drive. a backup external hard disk which is drive K. I do not seem to be able to change the names of drives. How can i get rid of drives that do not exist and stop new ones being created and then remaining.
